Records Retention Manual
The Records Retention Manual consists of five sections:
College-wide Records Retention and Disposition Schedule:
Provides guidelines for the length of time records should be retained. The records retention schedule is based on guidelines by a committee of the Inter-University Council of Ohio which included archivists, records managers, attorneys, registrars and representatives of two-year colleges. This group researched state and federal laws and regulations that govern or influence the retention and disposition of records for public institutions of higher education in Ohio.
Records Retention and Disposition Worksheets:
used for tracking where records are located, how long they should be kept on-site, etc.
Records Storage Procedures:
Including instructions on the use of the record-tracking database software system and form and labels to be used when sending records to the college's off-site facility.
Reports:
Generated by the record-keeping software system. These reports document what records are stored at the off-site facility, the records' storage status, and the records' scheduled destruction or review date.
Records Retrieval Procedures:
Include a cost list and the names of college personnel authorized to request records from the off-site facility.
